When can we start using your services?

We work with new clients to co-ordinate an effective time to change payroll providers. With permission from the new client, we can also liaise with the existing payroll provider to help facilitate a smooth transfer. There is no need to wait until the start of the tax year (April) to change providers. Depending on the payroll software used by the existing provider, we may be able to receive all the existing payroll data electronically and upload this to our system.

What pay frequencies can you process?

Do I need to register with HMRC as an employer?

If you are a new employer (for example, a new business engaging their first employee), then you will need to register with HMRC as a new employer. This is a simple process and can be done online at: www.gov.uk/register-employer

What are the current minimum wage rates?

There are a series of different National Minimum Wage (NMW) and National Living Wage (NLW) rates. The current rates, and announced changes, are available at: www.gov.uk/national-minimum-wage-rates

How do I find a pension provider?

Choosing the right pension scheme for your employees is an important decision.

We are not permitted to provide any advice on a suitable pension scheme. The Pensions Regulator publishes helpful information on their website.

Do I need to advise HMRC that we are changing to using your services?

We will notify HMRC when we start processing your wages. We will also ask HMRC to notify us directly of any changes to tax code or Student Loan arrangements. HMRC will write to the contact address they hold for the employer with an authorisation code to facilitate this.

Do I still have responsibilities to HMRC if you process our wages?

Ensuring compliance with payroll regulations remains the responsibility of the employer. When we assume the administration of your wages, we actively assist with this. For instance, HMRC directly sends us notifications regarding changes to employees' tax codes and Student Loan information, which we promptly implement. As part of our comprehensive service, we handle calculations for items such as Statutory Sick Pay (SSP) and Statutory Maternity Pay (SMP) on your behalf. Additionally, we accurately calculate the relevant payments to HMRC for National Insurance Contributions (NICs) and income tax, including any credit for Employment Allowance.

How quickly can you take on our wages?

We welcome new clients throughout the year; it's not restricted to the beginning of the tax year. While it's important for us to have sufficient time for entering and validating year-to-date figures for the tax year, the setup process can be expedited. Typically, for a small payroll with all pertinent information provided promptly, it takes just a few days to set up a new client. However, for larger payrolls, the process may extend to a few weeks. Potentially, we can import wages data from your existing wages provider directly into our software.
